MindBoard Terms of Service
Last updated: 7 October 2026
These terms are an agreement between you and MindBoard LLC (შპს მაინდბოარდ), registered in Georgia, identification code 437980598, registered address: 51 Meskheti St., Borjomi, Georgia. "We" and "us" mean MindBoard LLC. "You" means the person whose account it is.
By setting a password for your account, or by using MindBoard, you agree to these terms. If you use MindBoard on behalf of an organisation, you confirm that you can bind that organisation to them.
1. What MindBoard is
MindBoard is an online 3D table for systemic constellation work and related coaching and facilitation methods, available at board.mindboard.me (the "Service"). You place figures, areas and helpers on the table, and you can invite others to a board by sharing a link.
MindBoard is a tool for professionals. It does not provide coaching, therapy or any other professional service, and it is not a medical device. How you use it with a client, and the methods you apply, are your professional responsibility.
2. Beta
MindBoard is currently in a beta (test) period. During the beta:
- accounts are by invitation only, and we approve each one;
- features may change, be added or be removed;
- we do not guarantee that the Service will be available at any particular time, or free of errors.
We will tell you by email before the beta ends and before any change that affects what you pay.
2a. Plans
MindBoard has a free plan and paid plans (monthly and annual). You start on the free plan once your account is approved.
- Free plan: you work on your own boards, alone. Sharing a board and working on it with others are not included.
- Paid plan: everything in the free plan, plus Shared Access, so guests can join your boards and work on them with you.
3. Your account
- You must be at least 18 years old and use MindBoard for your professional work.
- An account is for one person. Do not share your login.
- Keep your password secret. You are responsible for what happens under your account, unless it happens because of our failure.
- Use a laptop or desktop computer with a window at least 1024 × 650 pixels. MindBoard is not designed for phones.
4. Guests
On a paid plan, you can let other people join your boards as guests, by turning on Shared Access and sending them the link and, if you set one, the board password. Guests do not need an account; they join with a display name.
- You decide who receives the link, and you are responsible for your guests' use of your boards.
- Anyone who has the link and the board password can join while Shared Access is on. Turn it off when a session ends.
- Changes are saved only while you, the board's owner, have the board open. Changes guests make while you are away are not saved. Stay in the board until everyone has finished.
5. Your content and your clients' information
"Your content" means everything you or your guests put into your boards: figure names, labels, arrangements, board names and descriptions.
- You own your content. You give us permission to store, copy, transmit and display it only as far as needed to run the Service for you. We do not use it for any other purpose, we do not sell it, and we do not use it to train AI models.
- MindBoard is not built to hold client records. It has no client accounts or client files, and guests' display names are not stored. Use initials, roles or neutral names for figures wherever you can.
- Do not enter health information or other special categories of personal data (for example diagnoses, therapy notes, sexual life, religious or political beliefs) about your clients or anyone else.
- If you do put information about your clients into a board, you are responsible for it: for having a lawful basis to record it, for telling your clients as your professional and legal duties require, and for deleting it when you should. For that information you are the controller and we process it on your behalf, under the data processing terms in the Annex below, which form part of these terms.
- You can export a board as a PNG image or as a JSON file at any time. Keep your own copies of anything that matters to you.
6. Acceptable use
Do not:
- use MindBoard for anything unlawful, or to harass, threaten or harm anyone;
- try to access boards, accounts or data that are not yours, or test the Service's security without our written permission;
- interfere with the Service, overload it, or use automated means to access it;
- copy, resell or build a competing product from the Service, its figures or its mats;
- upload malicious code.
7. Fees and payment
- Prices. For customers in Georgia: GEL 90 per month or GEL 900 per year, invoiced in GEL by MindBoard LLC. For customers outside Georgia: €30 per month or €300 per year, invoiced in euros by MindBoard LLC. We may later invoice customers outside Georgia through another company in our group; we will tell you before that happens, and these terms will name it. A written agreement with us may set other terms.
- How you pay. During the beta we send you an invoice, and you pay it by bank transfer.
- When your plan starts. Your paid plan starts on the day we receive your payment, and runs for one month or one year from that day. We activate it on the day your payment arrives, or on the next business day if it arrives outside business hours.
- Renewal. Before your plan ends, we send you an invoice for the next period. If you pay it before the end date, the new period starts when the current one ends. If you pay within 3 days after the end date, your plan continues without a break, and guests can still join your boards during those 3 days. When a plan ends, guests already in a session can stay until it ends; new guests can't join. Your boards stay in your account and you can keep working on them alone.
- VAT. MindBoard LLC is not currently registered for VAT, so no VAT is charged. If that changes, we will add VAT as the law requires and tell you in advance.
- Price changes. We may change prices with at least 30 days' notice by email. A new price applies from your next billing period.
- Complimentary accounts. Some accounts have a paid plan free of charge, for example members of a training programme we have partnered with. These terms apply to them too, apart from this section and section 8.
8. Refunds
Because the free plan lets you try MindBoard before you pay, refunds have short windows:
- Monthly plan: a full refund if you ask within 3 days of your payment.
- Annual plan: a full refund if you ask within 14 days of your payment.
To ask for a refund, email info@mindboard.me from the address on your account. We send the refund to the account the payment came from within 3 business days of your request, and your account returns to the free plan when we do. Outside these windows, payments are not refunded, except where the law requires it.
You do not need to cancel anything to stop paying: simply do not pay the next invoice, and your plan ends when the paid period ends, as section 7 describes.
9. Ending the agreement
- You can close your account at any time by emailing info@mindboard.me. The dashboard's Delete All My Boards deletes your boards, but not your account itself. Closing an account does not by itself entitle you to a refund; see section 8.
- We can suspend or close your account if you seriously or repeatedly break these terms, or if the law requires us to. Where we reasonably can, we will warn you first and give you time to export your boards.
- We can end the Service altogether with at least 60 days' notice by email, and refund the unused part of any period you have paid for.
- When an account is closed, we delete its boards and account data within 30 days. We do not currently keep separate backups. If we start, deleted data will be removed from them within 30 days. We keep invoices and payment records for the period Georgian tax law requires (currently six years). An access request that is not approved is deleted after 12 months.
10. Our rights
The Service, including its software, 3D figures, mats, design and the inside view, belongs to MindBoard LLC or its licensors. These terms give you the right to use it for your professional work while your account is active, and no other rights. If you send us suggestions or feedback, we may use them without owing you anything.
11. Warranties
We provide MindBoard with reasonable skill and care. Apart from that, and as far as the law allows, the Service is provided "as is" and "as available", without any promise that it will meet your particular needs or be uninterrupted or error-free. This matters especially during the beta.
12. Liability
- Neither of us is liable to the other for indirect or consequential loss, or for loss of profit, business or goodwill.
- Our total liability to you under these terms in any 12-month period is limited to the fees you paid us in that period.
- Nothing in these terms limits liability for fraud, for death or personal injury caused by negligence, or for anything else that cannot lawfully be limited.
13. Changes to these terms
We may update these terms. We will email you about any significant change at least 30 days before it takes effect. If you do not agree, you can close your account before then under section 9.
14. Law and disputes
These terms are governed by the law of Georgia. Any dispute goes to the courts of Tbilisi, unless a law that protects you gives you the right to go to another court. Before going to court, please write to us: we will try to resolve the matter within 30 days.

Annex — Data processing terms
This Annex applies when you put personal data about other people, such as your clients, into MindBoard. For that data you are the controller and MindBoard LLC is the processor. It is written to meet Article 28 of the EU General Data Protection Regulation (GDPR) and the Law of Georgia on Personal Data Protection.
- Subject matter and duration. We host your boards so that you can use the Service, for as long as your account exists and until deletion under section 9.
- Data. Whatever personal data you choose to put into board content: typically names, initials or roles of your clients and people in their systems. Special categories of data must not be entered (section 5).
- Instructions. We process this data only to provide the Service to you, as described in these terms, unless the law requires otherwise. If it does, we will tell you, unless the law forbids that.
- Confidentiality. Only people who need access to run the Service can reach your content, and they are bound by confidentiality. At present that is MindBoard's administrator only.
- Security. Your content is stored in a database hosted in the European Union, protected by access rules that allow only you to read or change your boards directly. Guests you admit through Shared Access can see and change a board during a session over a channel reachable only with a secret key, which is issued only to people holding the board's link and password and is replaced when sharing is turned off or the password changes. Board passwords are stored hashed, and all connections are encrypted.
- Sub-processors. You authorise the sub-processors listed in our Privacy Policy. We will tell you by email at least 30 days before adding or replacing one, and you can object by cancelling your account.
- International transfers. Your content is stored in the EU. MindBoard LLC is based in Georgia and administers the Service from there, and some of our sub-processors are based in the United States. Our sub-processors' data processing agreements include the European Commission's Standard Contractual Clauses for transfers of your content out of the EU.
- Assistance. We will help you, as far as reasonably possible, to answer requests from people exercising their data rights, and with security and data protection impact questions about the Service.
- Breaches. We will tell you without undue delay after becoming aware of a personal data breach affecting your content, with the information you need to meet your own obligations.
- Deletion. When your account is closed, we delete your content as described in section 9.
- Information and audits. We will give you the information reasonably needed to show that we meet this Annex. Please send requests to info@mindboard.me.
